Mail all medical records, diagnostic studies and other evaluation related materials (including video tapes, films, discs, etc.) to the Medical Systems corporate office at: Medical Systems, 7111 W. Edgerton Ave., Greenfield WI 53220-4481. Safely and securely upload medical documentation through our website tool. You may also fax documentation to 888-728-4188/414-755-5631. If none of these options work for you, or if you need records copied, just call 800-261-3278/414-431-3276 and we will make pick-up or copy arrangements for you.

Check with our Schedulers for a doctor’s preference. Some doctors prefer to view the written reports, while others prefer to view the actual films. If you prefer for an evaluating doctor view the actual films or if the chosen doctor requires films, please send them to Medical Systems at 7111 W. Edgerton Ave, Greenfield, WI 53220-4481, and we will make sure the doctor receives them in a timely fashion.

Each doctor has their own specifications for documentation, so leave it to Medical Systems to organize records for you at no extra charge. There is no need for you to take the time to organize; simply send your records with no staples or paperclips and we will do the rest.

Absolutely! Medical Systems regularly handles cases originally scheduled through other IME vendors. We will also be happy to assist with cases from clients who wish to transfer active cases from their current vendor to Medical Systems. If we have an established relationship with the doctor, we can likely keep the same timeslot and just switch everything over to us. Our well-trained staff makes the transition from other IME vendors seamless for our doctors and our clients.

Medical Systems has a Doctor Recruitment Specialist on staff who specializes in locating and recruiting doctors for our clients. We can get almost any doctor you desire!

Well over 90 percent of Medical Systems doctors have an active practice in their chosen area of specialty. If you would specifically prefer to use a doctor who is currently engaged in active practice, please be sure to let us know at the time of scheduling.

At Medical Systems we believe it is neither in the best interest of our clients nor our doctors for doctors to have exclusive arrangements for performing IMEs with an individual vendor. In fact, we actively encourage all our panel members to establish working relationships with other vendors. The fact is, if a doctor works with only one IME vendor, the doctor might be considered employed by that same IME vendor. Even an implied employment relationship between a doctor and an IME vendor can negatively impact the credibility of an IME report, and raise questions as to whether it would be considered truly independent.

In most cases the doctor will speak to you about his or her report. If this is a requirement, please be certain to notify a Medical Systems representative at the time of scheduling.

Many, but not all, of our doctors will perform video depositions and/or live testimony. If this is a requirement, please be certain to notify a Medical Systems representative at the time of scheduling.

All Medical Systems doctors are instructed not to discuss their opinions with the examinee. They are specifically told to communicate to the examinee they need to contact the referring source for a copy of the written report.

Yes. Please let us know you would like to take advantage of this service at the time of scheduling and we will be happy to send a mileage check to the examinee with our confirmation letter.

No. The purpose of the draft report preview is to make certain all of your questions have been adequately addressed by the doctor, and opinions have been satisfactorily explained; it is absolutely not an opportunity to try to change the doctor's opinion. The express purpose of the draft preview is to make sure questions have been properly addressed the first time around, so as to prevent the need for addendum reports. The report is the doctor's work product, so if any clarifications are requested, they are requested of the doctor. The doctor is the one controlling this process, not the client, and not Medical Systems. Upon being asked, doctors are generally willing to expound on their conclusions, but will not change their conclusions on the case.

In order to avoid charges, the Medical Systems corporate office must be notified of the cancellation three (3) full business days prior to the scheduled IME date, and five (5) full business days for traveling doctors. Notification of cancellation received on weekends or outside of normal business hours (8AM-5PM CST) will be calculated from the next business day. Notifying the doctor directly of a cancellation is not acceptable. Notification of cancellation will only be accepted from the referring source.

Standard late cancellation charges differ by state and vary greatly depending upon the doctor you have selected. Some doctors charge the full IME rate for late cancellations. Please refer to the confirmation letter you received when scheduling the case for specific information related to cancellation fees or contact a Medical Systems representative.
